Volunteers in our admissions positions scan patron tickets & validate admission into the venue. Once inside, volunteers in this position point patrons in the right direction to the door closest to their seats.

Admissions Overview

Call Time: 90-minutes before event begins

Reports to: House Manager

Attire: Dress Blacks What are Dress Blacks?

Description: The Admissions/Gate/Ticket taking volunteers are in charge of validating tickets at the door, and allowing guests into the theater (or other venue if applicable). This volunteer uses a scanning device (provided by Loos CFA) to scan and validate tickets.

How to: 

  1. When you arrive, check in with the house manager. The house manager will distribute a name tag and scanner.

  2. On the left side of the scanner, click the power button, then swipe up from the lock icon.

  3. The house manager will train you on how to scan tickets

  4. As you scan in patrons:

    1. Welcome them;

    2. Inform them of where the restrooms are;

    3. Inform them of the bar/concessions stand(s) (if applicable);

    4. Inform them of the approximate show run time, and if there is an intermission; and

    5. Guide them in the direction of the closest door for their entry (if assigned seating)

  5. When finished scanning in all patrons, return the name tag and scanner to the House Manager.

When you scan a ticket, the scanner will display a notification to inform you whether the ticket is valid or invalid. If the ticket is invalid, the notification will provide some additional information about the problematic scan. Always notify the House Manager for invalid ticket errors.

The barcode is valid for this event, but it has already been scanned.

 

(XX - This ticket is not for the current event)
The barcode is not valid for the event the scanner is currently set to. -- Check the scanner event name & event name on ticket.

 

(XX - This ticket has been returned or exchanged) 

 

(XX - Please set up student section for ID barcode scan) 

An incorrect barcode was scanned.

(XX - Failed to scan ticket, Network Error) 

The scanner has disconnected from Wi-Fi or is unable to connect.

Invalid

(OK! - Reserved by [NAME])

The barcode is valid for this event.

(OK! - Previously granted exit for [NAME])

The barcode is valid for this event. The patron may have left the venue and received permission from House Manager to re-enter.

Manual lookup

If a patron has unscannable tickets or is unable to look up their order, try this step before calling the House Manager for assistance.​

Search

If a patron cannot load their tickets or if their tickets are otherwise unscannable, you can use the search tool to locate a customer's tickets.

 

Use the "slide to exit lock mode" from the scan screen, then tap "Search" along the bottom. You cannot search by last name from the "Scan" screen. Lookup the order with the customer's last name, only after verifying their ID.

After searching the patron, tap "Scan" on the tickets you are "scanning" in.  

 

Return to the normal scanner by tapping "Scanner" on the bottom of the screen, then tap the lock icon.

Difficulty scanning mobile tickets?
  1. Ask the patron to turn up their screen brightness, and try again. If that doesn't work;

  2. Search for the order with manual lookup

If the scanner is having trouble scanning mobile (non-printed) tickets, try these steps before calling the House Manager for assistance.
